Installation volume has increased every year for the past decade, federal incentives have drawn new entrants into the market at every level of the supply chain, and the number of companies positioning themselves as commercial solar experts has expanded far faster than the number of companies that actually are.

For a business approving a $500,000 to $3,000,000 solar investment, this proliferation creates a genuine selection challenge. The installed system will be on your roof or ground-mount for 25 years. The warranties protecting that system are only as good as the companies standing behind them. The performance guarantees in your EPC contract are only enforceable against a company that will exist in 10 years. And the ongoing monitoring, maintenance, and optimization of the system depends on a service relationship with a partner who understands your installation, your utility rate structure, and your operational requirements.

Getting the vendor selection right is not a minor administrative step in the solar procurement process. It is one of the most consequential decisions in the project — and one of the most poorly executed, because most buyers lack a framework for evaluating solar company reliability beyond price and sales presentation.

This guide provides that framework.

Why Vendor Reliability Matters More in Solar Than in Most Capital Investments

Before walking through the evaluation criteria, it is worth being explicit about why commercial solar vendor selection deserves more diligence than the selection of most other capital equipment suppliers.

The asset life creates a 25-year dependency. A commercial solar installation is not a piece of equipment you can replace easily if the vendor relationship fails. The system is mechanically attached to your building, electrically integrated with your facility’s distribution system, and covered by warranties and performance guarantees that are exercisable only against the companies that issued them. If your EPC goes out of business in Year 7, the workmanship warranty covering that installation is not transferable to their successor — it simply ceases to be enforceable.

The solar industry has a significant company failure rate. The rapid expansion of the solar market has been accompanied by rapid entry of companies that lack the financial stability, operational depth, or business model durability to serve customers across a 25-year project life. Several solar companies that were active and well-regarded in 2018 or 2020 are no longer operating. The companies that fail are not obviously distinguishable at the proposal stage from those that succeed — they have professional websites, impressive case studies, and competitive pricing. Due diligence is the only mechanism for distinguishing them.

The financial structure of solar creates specific vulnerability. Many commercial solar companies operate as thin-margin project businesses — low overhead, project-by-project cash flow, and limited reserves. When project pipelines slow (as they did during the 2022 interest rate shock and again during periods of incentive uncertainty), thin-margin project businesses are vulnerable to cash flow crises that can destabilize or eliminate them. An EPC that was financially solid when you signed your contract may not be solid when you need your Year 10 warranty claim addressed.

The technical complexity creates quality variance. Commercial solar installation involves electrical engineering, structural engineering, rooftop waterproofing, utility interconnection management, and sophisticated commissioning. The variance in quality between a well-executed installation and a poorly executed one is not visible on Day 1 — it emerges over years, in the form of underperforming panels, roof penetration leaks, electrical faults, and monitoring system failures that are expensive to diagnose and correct.

With this context established, the evaluation framework becomes clear: you are not just selecting a contractor for a construction project. You are selecting a 25-year partner for a critical operational asset.

Evaluation Criterion 1: Commercial Track Record — Specifics, Not Generalities

Every solar company claims experience. The relevant question is not whether they have experience — it is what kind, at what scale, and verifiable by whom.

What to look for:

Commercial-specific experience at comparable scale. A company with an extensive residential installation portfolio and three commercial projects is not a commercial solar company. Residential and commercial solar are different businesses — different structural requirements, different electrical engineering complexity, different utility interconnection processes, different warranty and O&M structures. Require a portfolio of completed commercial installations at a scale comparable to your project, with verifiable documentation.

Reference accounts willing to discuss specifics. Request three to five references from commercial customers with systems that have been operating for at least three years. A reference from a customer whose system was commissioned six months ago cannot speak to long-term performance, warranty claim experience, or O&M responsiveness — the dimensions that matter most for a 25-year asset. Ask references specifically: “Have you had any performance issues or warranty claims? How did the company respond?”

Case studies with documented outcomes. Proposal-stage case studies that cite system size and customer name are marketing. Case studies that document the pre-installation energy baseline, the projected savings, and the actual measured performance two or three years post-commissioning are evidence. Ask for the latter. A company that cannot provide measured performance data from past installations is either not tracking it or the data is not favorable.

Geographic and utility experience. Solar installation involves utility interconnection, local permitting, and jurisdiction-specific structural and electrical codes that vary significantly by location. A company with deep experience in California may have limited experience navigating your specific utility’s interconnection process or your jurisdiction’s building department. Ask specifically about their experience with your utility and in your geographic market.

Evaluation Criterion 2: Licensing, Insurance, and Certifications — The Minimum Floor

Licensing and insurance are not differentiators — they are minimum qualifications. A company without proper licensing and insurance should not advance past the initial screening. But verifying them actively (rather than accepting the company’s assertion) is important, because misrepresentation of credentials is not unheard of in a rapidly growing market.

What to verify:

State electrical contractor license: Commercial solar installation involves significant electrical work that requires a licensed electrical contractor in virtually every U.S. jurisdiction. Verify the license number against your state’s contractor licensing database, confirm the license is current, and check for any disciplinary actions or complaints on record.

NABCEP certification: The North American Board of Certified Energy Practitioners (NABCEP) offers the most recognized professional certification for solar installation professionals — specifically the PV Installation Professional (PVIP) certification. Require that the company have NABCEP-certified professionals involved in the design and installation of your project. NABCEP credentials can be verified through the NABCEP public registry.

General liability and workers’ compensation insurance: Require certificates of insurance naming your business as an additional insured, with limits appropriate for the scale of the project. For a $1 million solar installation, general liability limits of $2 million per occurrence and $4 million aggregate are a reasonable minimum. Workers’ compensation should cover all on-site workers, including subcontractors — ask specifically whether the EPC’s subcontractors are covered under their policy or carry their own.

Roofing contractor license (if applicable): For installations that involve roof penetrations or roof replacement as part of an integrated project, the company performing roofing work should hold the appropriate roofing contractor license for your jurisdiction — separate from the electrical contractor license.

Evaluation Criterion 3: Financial Stability — The Question Most Buyers Don’t Ask

Financial stability is the evaluation criterion that most commercial solar buyers skip entirely — because it feels awkward to ask, because vendors don’t volunteer the information, and because the relevance is not obvious until something goes wrong.

It is the most important criterion for 25-year asset durability.

What financial stability assessment looks like:

Years in business and business model continuity. How long has the company been in operation, and has its business model been consistent? A company that has been operating as a commercial EPC for 10+ years and has sustained a consistent customer base through multiple market cycles is demonstrably more durable than a company that has been operating for 3 years in a favorable market. Ask about the history of the business: Has it changed ownership? Has it shifted between residential and commercial markets? Has it experienced any periods of significant staff reduction?

Revenue stability and pipeline. Without requesting audited financial statements (which most commercial solar companies will not provide), you can assess financial stability indirectly through conversations about project backlog, customer concentration, and growth trajectory. A company that is primarily dependent on one or two large customers for its revenue is more fragile than one with a distributed customer base. A company that is growing significantly faster than its operational capacity can sustain is a different kind of risk.

Bonding capacity. For large commercial projects, require the EPC to provide evidence of their surety bond capacity — the amount for which they can be bonded on construction contracts. Bonding capacity is underwritten by a surety company based on the EPC’s financial condition, and a company that can be bonded for projects at or above your project scale has passed an independent financial fitness assessment.

Warranty insurance backing. As discussed in the CEO contract pitfalls article, the most important warranty protection is one backed by a third-party insurer rather than solely by the EPC’s continued solvency. Ask specifically whether the workmanship warranty on your installation is backed by a third-party warranty insurance policy, who the insurer is, and what the coverage terms are. A company that offers only a self-backed workmanship warranty is asking you to take a credit risk on their 10-year survival — a risk that the insurance market can price and transfer for a modest premium.

Evaluation Criterion 4: Proposal Quality as a Proxy for Operational Quality

The proposal a company produces for your project is the most observable sample of their operational rigor before you have committed to work with them. A company that produces vague, incomplete, or optimistic proposals is communicating something important about how they will execute and manage the actual project.

What a rigorous commercial solar proposal includes:

Itemized equipment schedule with manufacturer and model for every major component. Panels, inverters, racking, monitoring platform, and battery systems (if applicable) should be identified specifically — not described generically as “tier-one equipment.” This specificity allows you to independently verify bankability ratings, warranty terms, and equipment compatibility.

25-year generation projection with documented assumptions. The energy yield model should identify the solar irradiance data source (NASA POWER, NREL, or site-specific measurement data), the panel degradation rate assumed, the system losses applied (soiling, shading, wiring, inverter efficiency), and the methodology for converting irradiance to generation. A projection that does not document its assumptions cannot be evaluated — and a company that does not document its assumptions has either not done the analysis rigorously or has something to hide in the numbers.

Explicit financial model with tax treatment. As discussed elsewhere in this series, the ITC, bonus depreciation, and basis adjustment are specific and consequential. A financial model that presents “tax benefits” as a single aggregate number without showing the ITC and depreciation calculation separately has not been built by someone who understands the tax mechanics — which is a problem, because the tax mechanics significantly affect the actual financial outcome.

Roof and structural assessment documentation. For rooftop installations, the proposal should reference a structural assessment of the roof’s capacity to support the installation, or should explicitly condition the proposal on completion of such an assessment. A proposal that does not address roof structural capacity is either assuming the roof is adequate without verification or has not thought through this step.

Interconnection timeline and process. The proposal should include the EPC’s assessment of the interconnection timeline for your specific utility — not a generic estimate — and should describe the interconnection application process, the utility’s capacity to serve the installation, and any known constraints. A company that has not researched your utility’s interconnection process before submitting a proposal is not operating at a commercial-grade level.

Evaluation Criterion 5: O&M Capability and Long-Term Support Structure

The EPC that installs your system may or may not be the right long-term Operations and Maintenance (O&M) partner — and the distinction matters significantly for 25-year asset performance.

What to evaluate in O&M:

In-house vs. subcontracted maintenance capability. Does the company perform its own O&M, or does it subcontract maintenance to third parties? In-house O&M capability provides more accountability and typically better response times. Subcontracted O&M introduces a second vendor relationship whose quality the EPC may not directly control.

Response time commitments in writing. The O&M agreement should specify maximum response times for system faults — both remote (monitoring alarm response) and on-site (physical intervention for equipment failures). Response time commitments that are not in the contract are not commitments. For a critical facility, response times of 24 hours for remote response and 48–72 hours for on-site response are reasonable minimums.

Monitoring platform longevity and data ownership. Your system’s monitoring data — generation records, performance history, fault logs — is a 25-year data asset that supports ESG reporting, warranty claims, and performance evaluation. Confirm that the monitoring platform is a commercially established, vendor-neutral system (not proprietary software that becomes inaccessible if the EPC relationship ends), and confirm that you have ownership and ongoing access to your data regardless of the status of the EPC relationship.

Performance guarantee terms and remedy structure. The performance guarantee in your EPC contract commits the company to a specific annual generation minimum and defines the remedy for shortfalls. Review the remedy structure carefully: a performance guarantee that pays you $0.10/kWh for underperformance when grid electricity costs $0.14/kWh is not a full remedy. The remedy should compensate you for the actual cost of replacing the underperformed generation from the grid.

Red Flags: Signals That Should Prompt Additional Scrutiny or Elimination

Beyond the positive evaluation criteria, several specific signals in the sales and proposal process indicate risks worth taking seriously:

Pressure to decide quickly. A legitimate commercial solar company knows that a $1 million capital decision requires deliberate evaluation. Any sales pressure around artificial deadlines — “this pricing expires Friday,” “we have limited installation slots” — is a manipulation tactic that should be treated as a red flag, not a reason to move faster.

Generic or template proposals with your company name inserted. A proposal that could have been submitted to any customer with minor modifications has not been built on an analysis of your specific facility, utility rate structure, and energy profile. This is a quality signal about how the company will approach the actual project.

Vague or missing warranty documentation. If a company cannot produce the specific warranty documentation — manufacturer product warranty, performance warranty, and workmanship warranty — in the proposal stage, they are either relying on documents they have not reviewed themselves or they do not have the warranty coverage they are implying.

Inability to name the interconnection process for your utility. A company that does not know your utility’s interconnection process by name, queue status, and typical timeline has not done the research that a commercial-grade EPC performs as a matter of course before submitting a proposal.

Unusually low pricing without explanation. Below-market pricing is sometimes the result of genuine efficiency. More often it reflects commodity-grade hardware (with the bankability and warranty risks described in Article 9 of this series), inadequate contingency for project complexity, or financial pressure that the company is managing by underbidding to win projects. Ask specifically what accounts for a pricing advantage relative to higher bids — a good company can explain it clearly.

Evaluate each dimension on a consistent scale and weight the results. Price should be one input in the evaluation — not the primary driver. The company that is $50,000 cheaper on a $1,000,000 project but cannot provide insurance-backed warranties, documented performance track records, or clear O&M commitments is not cheaper. It is higher risk with a lower upfront number.

Performance guarantees in commercial solar contracts typically run 1–2 years for workmanship warranties (covering installation defects) and 5–10 years for performance guarantees (covering minimum generation output). The longer the performance guarantee period, the more accountability the EPC retains for system performance beyond commissioning. Negotiate for the longest performance guarantee period available, and ensure the remedy structure is meaningful — a guarantee with inadequate remedies for underperformance provides limited protection.

Is it worth paying more for a larger, more established company over a smaller local installer? Scale provides certain advantages — financial stability, in-house O&M capability, access to better equipment pricing, and established relationships with utility interconnection teams. But scale alone is not a proxy for quality. A large company with poor project management processes can deliver worse outcomes than a smaller company with strong discipline. Evaluate on the specific criteria in this framework rather than on company size as a heuristic.

Choosing the right solar company is not the most glamorous part of a commercial solar project — but it is one of the most consequential. The system that performs as projected for 25 years, the warranty claim that gets honored in Year 12, and the monitoring data that supports your ESG disclosures in 2035 are all functions of the partner you select today.
